What is this role about?
Support the day-to-day administration of the After Sales Department and ensure that service transactions, records, documentation, coordination, and reports are complete and updated.

Key Responsibilities:

• Manage the service appointment calendar based on bookings endorsed by the CRO and Service Advisor.

• Prepare, monitor, update, and close Job Orders/Repair Orders and ensure complete supporting documents.

• Maintain accurate customer, vehicle, PMS, repair, and service history records.

• Track vehicles currently in service, completed units, pending jobs, and vehicles awaiting parts or approval.

• Coordinate internally with Service Advisors, technicians, Parts, CRO, and After Sales Manager.

• Handle administrative requirements for warranty claims, including documentation, submission tracking, approvals, reimbursements, and pending claims.

• Monitor parts requirements for scheduled and ongoing jobs and coordinate availability with Parts.

• Prepare daily/weekly/monthly After Sales reports, including:

  • Appointments vs actual arrivals

  • No-shows

  • Vehicles serviced/PMS completed

  • Open and aging JOs

  • Vehicles awaiting parts

  • Warranty claims and aging

  • Bay/technician utilization and productivity

  • After Sales revenue

• Maintain proper filing and completeness of all after-sales documents.

• Monitor pending items and ensure they are followed through until closure.

• Support the After Sales Manager in administrative, audit, distributor/MAPVI, and operational requirements.
