What is this role about?
The Supply Planning Specialist is responsible for managing and validating supply-related costs, particularly focusing on minimizing oil loss variance and ensuring accurate financial transactions. The role involves reviewing vessel performance, filing oil loss claims, validating surveyor and vessel charges, and coordinating closely with internal and external stakeholders to ensure cost accuracy and timely documentation. Additionally, the role supports continuous improvement efforts by analyzing supply chain processes, identifying inefficiencies, and implementing solutions to enhance operational efficiency and reduce costs.
What will YOU do?
Validate and process surveyor fees (local and import), including accruals and nominations, ensuring accurate billing against approved quotes and coordination with Planning and Operations teams
Monitor vessel loading and discharging operations to validate surveyor and operational charges, ensuring accuracy in cargo documentation and preventing oil loss or off-spec incidents
Analyze vessel performance by comparing Service Level Agreements (SLA) against actual delivery to ensure proper cost allocation and identify delays, including force majeure events
File oil shortage claims for shipments exceeding the agreed loss tolerance, including coordination with the Risk Department and gathering of surveyor reports and cargo invoices
Validate supply-related transactions against actual billing to prevent overcharges, detect discrepancies, and ensure compliance with contracts and internal budgets
Coordinate with vessel owners, surveyors, and internal departments (e.g., Planning, Operations, Risk) to ensure timely documentation, accurate payments, and proper dispute resolution
Support continuous process improvement initiatives by identifying inefficiencies in supply planning, cost validation, and documentation workflows
Review and analyze voyage expenses to establish operational cut-offs, define new budgets, and refine policies for improved cost control and efficiency
Prevent financial losses such as demurrage and incorrect tax or duty payments through proactive monitoring, validation, and reconciliation of supply chain transactions
Process all other departmental costs ensuring timely and accurate entries that align with financial controls and the company’s cost management strategies
What will YOU need?
At least 4 years of related experience, preferably from the Business Services, Retail, Energy, Oil/Gas, Logistics industry
Adept in Data Analysis, Engineering, Business Analysis.
