What is this role about?
The Supply Operations Officer is responsible for optimizing supply-related cost controls and ensuring accurate recovery of oil loss variances. The role involves validating and processing transactional costs (e.g., surveyor fees, vessel charges), analyzing vessel performance against service agreements, and managing oil loss claims. It requires close coordination with vessel owners, surveyors, and internal teams to ensure accurate documentation, timely payments, and prevention of operational issues like demurrage and stockouts. The role also focuses on continuous improvement by identifying inefficiencies and enhancing operational processes to support the company's cost control and efficiency goals.
What will YOU do?
Ensure accurate billing of local and import surveyor fees, including accruals, nominations, and compliance with approved quotes, through coordination with Planning and Operations teams
Oversee the loading and discharging of both local and imported oil shipments to validate surveyor reports and safeguard against oil losses or off-spec cargo
Monitor vessel operations, log delays (including force majeure events), and assess actual performance against SLA to ensure accurate payments and detect inefficiencies
Identify shipments with oil losses beyond tolerance levels and coordinate with Risk Department by compiling all necessary documentation (e.g., surveyor reports, invoices) for claim processing
Maintain close communication with vessel owners, surveyors, Planning, and Operations teams to ensure operational accuracy, proper documentation, and timely issue resolution
Ensure that all supply-related costs (including duties, taxes, and freight) are validated against actual operations to prevent overpayments and errors
Monitor proactively cargo and vessel movements to prevent operational issues such as delays and product shortages that could result in demurrage or financial loss
Support recovery efforts for oil losses by tracking variances, coordinating documentation, and ensuring claims are filed and resolved efficiently.
Contribute to financial performance by adhering to cost controls, validating expenses, and ensuring alignment with approved budgets and contracts
Identify operational inefficiencies, propose enhancements, and implement process improvements to support cost reduction, operational excellence, and profitability goals
What will YOU need?
Open to fresh graduates or at least 1 year of related experience, preferably from the Business Services, Retail, Energy, Oil/Gas, Logistics industry
Bachelor's degree in Industrial Engineering, Business Management or related courses
