What is this role about?
This role is responsible for providing comprehensive support to the President and ensuring the seamless operation of tasks. The role demands effective organizational skills, attention to detail, and the ability to manage various responsibilities efficiently.
What will YOU do?
Calendar Management:
Schedule and coordinate appointments, meetings, and events for the executive.
Manage and prioritize the executive's calendar, ensuring optimal use of their time.
Communication:
Serve as a primary point of contact between the executive and internal/external parties.
Handle and screen phone calls, emails, and other communications, responding on behalf of the executive when appropriate.
Travel Coordination:
Arrange and coordinate travel plans, including flights, accommodations, and transportation.
Prepare travel itineraries and ensure all necessary arrangements are in place.
Documentation, Reporting, and Record Keeping:
Draft, edit, and proofread documents, reports, and presentations for the executive, when needed.
Maintain organized records, files and databases.
Meeting Support:
Prepare materials and agendas for meetings.
Providing pre-meeting notes and reading to ensure the executive has the key information.
Attend meetings, take minutes, and follow up on action items.
Project Assistance:
Provide support on special projects and initiatives as assigned by the executive.
Confidentiality:
Handle sensitive and confidential information with discretion and maintain a high level of confidentiality.
Relationship Building:
Build and maintain strong relationships with internal and external stakeholders.
Professionally represent the executive.
Problem Solving:
Anticipate and address issues proactively, providing solutions when necessary.
Act as a problem-solving resource for the executive.
Other tasks:
Perform other tasks as may be assigned from time to time.
What will YOU need?
- At least 1 year of experience in Administration, Operations or Office Management
- Good oral and written communication skills
- Must be willing to work in Corinthian Gardens, Quezon City
- Willing to work from Monday to Saturday, 10am to 7pm
